“A clear advantage of medikit is that every team member can access relevant, real-time information from any device. It supports dynamic, transparent operations.”

Kaiserin-Auguste-Victoria-Hospital
Since 1911, Kaiserin Auguste Victoria Hospital has played a vital role in delivering regional healthcare. With approximately 180 staff members, the hospital provides specialized medical services in surgery and internal medicine. In recent years, however, internal communication and quality management have presented ongoing challenges. Much of the communication relied on email, a limitation, as many employees did not have access to a hospital email account.
To address these pressing issues, the management team implemented medikit, a platform designed to bring clarity, speed, and alignment to clinical operations. We spoke with Dr. Andreas Schwarze, Medical Director, CEO Michael Werner, and Susanne Podßus, Executive Assistant to the Management, to learn how medikit has simplified daily routines and improved efficiency across the hospital.
Challenge
Communication gaps and lack of transparency
Before medikit was introduced at Kaiserin Auguste Victoria Hospital, there were several challenges that complicated day-to-day operations. Most internal communication took place via email, which proved problematic since not all staff members had an email address, leaving many feeling poorly informed. Document management, especially in quality assurance, was cumbersome, and key materials were often hard to locate. Part-time employees and team members with flexible schedules also struggled to access up-to-date information.
Solution
Streamlined communication with medikit
medikit consolidates all essential information in a central hub, eliminating communication gaps and ensuring staff are consistently informed and aligned.
Quick distribution of updates
Whether it’s construction projects, shift changes, or staff absences, important updates now reach everyone directly. Even event invitations or team outings can be shared effortlessly, significantly reducing administrative workload.
Flexible access on any device
With medikit, all staff members can access relevant information anytime, from anywhere. This is a major relief, especially for part-time employees and those with flexible schedules.
“Since adopting medikit, transparency has improved across the board. Our teams are informed, and aligned”

Digital Quality Management
Centralized access to SOPs and work instructions
medikit has significantly simplified quality management. All key documents, such as checklists and manuals, are now digitized and accessible at any time. Staff can easily retrieve templates, evaluations and review cycles, saving time and minimizing friction in daily routines. The entire manual is clearly organized within medikit, with all information stored centrally and easy to find.
Document control with version tracking and read receipts
medikit makes managing work instructions and SOPs much easier. What used to be paper-based is now available online, anytime and anywhere. Updates can be shared instantly with the people responsible. Thanks to the intuitive search function, read receipts, and version history, everything stays current and under control.
“Transparency at the hospital has improved significantly. Our staff can now find relevant documents much more easily and always stay up to date, both in quality management and day-to-day operations”
Michael Werner

Anonymous reporting of critical incidents
With the switch to medikit, the Critical Incident Reporting System (CIRS) was also introduced. Staff can now report critical incidents anonymously, strengthening quality assurance and promoting greater safety and transparency in daily operations.
medikit vs. Hospital Information System – Different focus points
While the Hospital Information System supports patient-related documentation and billing, medikit enhances collaboration, knowledge-sharing, and execution of day-to-day workflows—areas often overlooked in traditional systems.
Improved interdisciplinary workflows
Daily workflows across departments have improved significantly since medikit was introduced, especially in areas like surgical planning. All staff members now have real-time access to surgeons’ instructions and even use medikit in the background during surgeries to document changes on the spot.
Access to treatment pathways has also become much easier. Whether it’s a blood draw, X-ray, or dressing change, digital checklists provide clear guidance and help to prevent errors.
Boosting employee motivation
Transparent communication, clearly structured responsibilities, and reduced ambiguity foster a culture of engagement. Staff feel heard, supported, and equipped to perform, boosting morale and retention. “The feeling of being left out or underinformed no longer exists in our team. This improvement has had a significant impact on motivation,” confirms Dr. Schwarze.
Result
Success of the new communication platform
medikit has empowered the leadership team at Kaiserin-Auguste-Victoria-Krankenhaus to build a more connected, agile, and resilient organization, where transparency, accountability, and operational clarity are embedded in everyday practice. Communication is seamless. Documentation is controlled. Teams are engaged. And processes run more efficiently than ever. For management and clinical leadership aiming to elevate operational performance, medikit offers both strategic visibility and day-to-day clarity.
