Providing information quickly and efficiently to a large team while creating unity across two separate locations, which was the goal at Wohn- und Pflegeheim Zillertal GmbH. With the introduction of the medikit communication platform, all employees were connected through a single digital space. We spoke with Head of IT Alexander Kreidl about how this change came about.
With two locations, 140 employees, and many volunteers, the organization operates on a substantial scale. To ensure teams in Mayrhofen and Zell am Ziller receive timely updates and stay aligned, the medikit communication platform was introduced. Alexander Kreidl explains how the decision for medikit came about and how it changed their daily work.
Challenge
A digital communication tool for the entire team
We wanted a communication tool that would allow us to reach all employees centrally and ensure that everyone across the organization is on the same page. It was also important to us that the app would strengthen our sense of team spirit. medikit’s social stream feature, “medikit Moments,” has been a great addition in that regard — our team loves using it to share special moments with each other.
Solution
Communication, knowledge, and community in one platform
All internal communication across our two locations now takes place in medikit. Within their groups, care staff use the platform to coordinate shift swaps, organize their schedules, and exchange updates. Step by step, we are also building a digital Handbook in medikit, where care staff can access all the information, they need for daily tasks. This lets employees review key processes even before their shifts begin and continue learning on their own time, anytime, anywhere. We’ve also created several forms in medikit, for example, to submit COVID-19 test results or to place order requests to the technical support. Management shares important updates, regulations, and event info with the entire team through the employee app. And yes, it’s great that medikit is available on desktop. For those without smartphones, our office computers provide easy access, so no one is left out of the loop.
Structured rollout in small groups
From the start, we faced no significant hurdles during implementation. Naturally, we first had to get the team familiar with the idea of using an employee app for internal communication, marking the end of information exchanges via non-compliant messenger services. To make the rollout manageable, we introduced the system step by step in small groups. That structured approach helped ensure no one felt overwhelmed. The fact that we saw real benefits from medikit right away made the transition smooth and minimized skepticism towards the new employee app. Looking ahead, we also plan to involve our volunteers in medikit so they feel even more connected to our organization.
No patient data in medikit
We had no concerns about data privacy. On the one hand, the medikit team gave us a thorough overview of how data is handled. On the other hand, our internal data protection officer also gave us the green light. Resident medical data continues to be stored exclusively in our care documentation system and not in medikit. But when residents celebrate birthdays, for example, we’re happy to share their photos with the entire care team in medikit Moments, of course, always with their consent.
Result
Team spirit across locations
The greater the distance, the more valuable digital solutions and their advantages become. In a large organization like ours, there’s always the risk that teams at different locations lose connection and that people in one care home may no longer know who’s working in the other. The medikit employee app helps us maintain cohesion and foster a strong sense of unity across the board. It also enables us to communicate in a highly targeted way, whether we’re sharing updates with both locations, just one facility, or even specific groups. Thanks to medikit, we’re able to maintain a consistent line of communication throughout the entire organization.
