What was the biggest challenge in a 24/7 clinic?
While our practice management system has always served us well for clinical and medical topics regarding patients, we didn’t have a proper tool for team communication. Instead, we were juggling several inefficient tools: from emails, to free messaging apps, and using the practice management system in ways it wasn’t meant to be used. The result? Unfocused communication. Messages that were meant for just one department or a few employees ended up going out to the entire staff. Smartphones made it quick and easy to fire off a message, so all information landed in the group chat. That meant team members were constantly being distracted by information irrelevant to them.
Everyone stays informed
Even more challenging was keeping everyone on the same page. With so many communication channels, it felt almost impossible. What we were missing was a central knowledge platform — something that would make onboarding new employees much easier and more efficient. And we’re constantly onboarding new people.
medikit rollout with a 30-day test phase
We take a very structured approach to new projects. First, team leads attended a training session to explore medikit’s diverse features. Once that pilot run was successful, we expanded the test group to include employees from all departments, from veterinarians and stable staff to lab technicians and more. That ensured we were testing medikit in every area of our clinic. Next, we hosted a workshop to define exactly where and how we’d use medikit. Finally, we introduced the platform to the entire team, and everyone was encouraged to explore it before the official rollout date.

We’ve clearly defined how and when shift handovers should take place in medikit, what information needs to be included, and who needs to read it. One of the key reasons we chose medikit over other tools is the ability to precisely control who receives which messages. We no longer want team members to be disturbed with work-related notifications after hours or while on vacation. With medikit, we draw a clear line between work and personal time.
Easy updates of handbook articles
The basic structure of our medikit Handbook has been in place for years. Each department has always had its own folder on the server with work instructions, forms, and everything else needed day-to-day. So we already had the informational content, what was missing was the flexibility to access it anytime, anywhere. medikit now gives us that freedom, as the platform is available not only on the computer but also as an app on smartphones. Additionally, the smart search function saves us time by quickly directing us to the right info.
