It’s easy to imagine how hard it is to keep 90 people properly informed. At the Small Animal Clinic Ludwigsburg-Ossweil, we decided to stop accepting communication breakdowns as part of the job. In this interview, Clinic Manager Alexander Dörner shares how medikit brought structure, transparency, and efficient communication into our daily operations. 

Challenge

Practice software and email weren’t enough for efficient team communication

Before medikit, our clinic relied heavily on emails and our practice management software, which stores client and patient data. But none of the tools were built for efficient internal communication. You never really knew if a message had been read, let alone understood. Our overflowing inboxes often led to confusion, and the risk of important updates getting lost was high. We also had a quality management software in place that looked like something from the ‘80s or ‘90s. There was not even a messaging function – just an alert when a file had been uploaded. It offered no real way to improve communication inside the clinic. 

Why we chose medikit 

A fellow veterinarian recommended medikit to us. The goal was clear: We needed a tool that could help us fix the communication issues holding our team back.

The onboarding process with medikit was refreshingly smooth, just like using the platform itself. We started by sharing lists of our staff members and rooms with the medikit team, who supported us every step of the way. Together, we developed checklists, handbook articles, and tasks until the system was fully tailored to meet our clinic’s specific needs. 

From day one, our staff felt at ease with the platform. Its interface reminds you a bit of social media—something today’s generation is already familiar with. In fact, the messaging tool quickly became a favorite. Within just a few months, the team had learned how to hide irrelevant messages and use the group function to share information in a more targeted way.

What I noticed most since implementing medikit are the positive effects of streamlined communication on our daily clinic operations. Our team is always up to date. Overall, I’ve observed that we communicate not only faster and more purposefully, but also in a way that’s easier to track. As a result, the time between assigning a task and actually completing it or solving a problem has gotten much shorter. That’s especially important when you think about equipment repairs. In the past, it often took quite a while just to report an issue and start the repair process. Today, this process is quick and efficient. 

No more paper checklists

Paper checklists are a thing of the past since we started using medikit. They used to pile up in thick binders over time. Now, even the external cleaning company working with us has a medikit login and checks off their tasks digitally using tablets. We use NFC tags that need to be scanned in each room to confirm the cleaning has been done. What I especially appreciate is that medikit gives me complete visibility into what’s been done and what’s still pending.

NFC Tags for on-site task verification

NFC tags are now fully integrated into our daily workflows, whether it’s the animal ward or cleaning routines. These are recurring, everyday tasks, but NFC gives us a reliable way to verify completion. It confirms that someone was physically present to perform the work. For us, that’s been a game-changer in terms of traceability and accountability.

Would we recommend medikit? Absolutely. 

We recommend medikit to others in the veterinary field, because we know we’re not the only ones who’ve faced these challenges. Of course, there are other tools out there, but many of them just aren’t practical for day-to-day use. medikit is both simple and efficient. With just a few core features, it enables clear communication and smoother processes. It’s not just easy and fast—it’s become essential to how we work.
